Upon receipt, all gift materials become the property of the University of Washington Libraries. The Libraries reserves the right to determine retention, location, cataloging treatment and other considerations relating to the use and disposition of gifts. Materials not selected for addition to our collection may be donated to other institutions, sold, recycled, discarded or otherwise disposed. Proceeds from the sale of unwanted materials are used to benefit the University Libraries. [Note: The University Libraries does not currently conduct book sales.]
Each gift to the University Libraries is acknowledged. Acknowledgments typically include the date of receipt and a brief description of the gift. We recommend that our donors prepare a detailed inventory and include a copy with their donations.
Be assured that your gift will be handled responsibly and with care. Each item will be evaluated for addition to our holdings by highly trained staff and subject specialist librarians. We regret that we are not able to notify donors of the final disposition of their gifts or return items not added to our collection.
The University Libraries is committed to providing socially and environmentally responsible disposition of materials not needed for our collection. Each year, we distribute useful surplus gift books, journals, CD-ROMs, and video and sound recordings to other libraries around the world. Whenever possible, recycling options are employed for gift materials that are no longer serviceable. While we are not able to accept gifts exclusively for redistribution purposes, the Gifts Program staff will gladly suggest alternative opportunities for giving.
Internal Revenue Service regulations governing charitable contributions of non-cash gifts are complex. We strongly encourage you to consult legal, accounting or other professional advisors before you make your gift. Information on IRS and University Libraries requirements for supporting your income tax deduction is available from the Gifts Program.
Valuation of donated property is the responsibility of the donor. IRS regulations and University of Washington policy prohibit the Libraries from providing appraisals of gifts. IRS Publication 561 "Determining the Value of Donated Property" provides important information for donors of non-cash gifts. Contact the Gifts Program for a list of local independent appraisers.
If you anticipate that the value of your gift or the aggregate value of a series of gifts to one or more organizations during the tax year is $5,000 or more, please advise the Libraries in advance of making your gift. Failure to provide early notification may result in the Libraries' inability to substantiate your claim on IRS Form 8283 or comply with other IRS reporting requirements. If you expect to file an IRS Form 8283 for gift(s) valued at $5,000 or more, you must obtain a "qualified appraisal" that details each item in the gift.
Please enclose a note with your delivery that includes the name and address of the person, estate, organization, company, UW department, or other agency donating the material. In addition, mark delivery containers with the word GIFT. If your gift is large, please take it to the Allen Library Receiving Dock. Smaller gifts can be hand carried to the Gifts Program Office or the Information Services Desk.
Large gifts can be delivered to the Allen Library Receiving Dock. The Receiving Dock is open Monday through Friday from 8:00 a.m. to 12:00 p.m. and 1:00 to 3:00 p.m. Libraries staff will be glad to help unload your car and make sure that your donation is delivered to the Gifts Program staff. Please do not leave your gift on the Receiving Dock without notifying staff.
We recommend that you enter the University of Washington at Gate 5, which is located at 15th Avenue NE at NE 40th Street. See the UW Campus Map to help plan your trip to the Allen Library Receiving Dock:
Smaller gifts can be delivered to the Gifts Program Office or the Information Desk in the Allen Library lobby. Convenient parking is available in the University of Washington Visitor's Parking Garage, which is located on 15th Avenue NE at NE 41st Street. Depending on the time or duration of your visit to campus, you may be charged for parking. Various bus routes offer easy access to the campus.
The Gift Program Office hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. during the academic quarter and 9:00 a.m. to 5:00 p.m. during interim. We recommend that you call 206.543.1859 to make an appointment. The Gifts Program office is located on the first floor of Suzzallo Library in Room 125. Enter Suzzallo Library at the west entrance on Red Square. Staff at the Information Desk can provide directions to the Gifts Program Office.
The Information Desk is open during scheduled hours. It is located at the ground level of the Allen Library (North Wing). The Allen Library is connected to Suzzallo Library.
