ACRL Washington State Chapter Board 
Position Description:
Secretary/Treasurer

Requirements:  

The Secretary/Treasurer must be a member of the Washington State Chapter of ACRL.

Term:

The Secretary/Treasurer will serve a two-year term, which begins following the spring board meeting. It is recommended that a new Secretary/Treasurer take office in a year when the fall conference is held in Menucha. A vacancy in the office of Secretary/Treasurer shall be filled by an appointment made by the Board of Directors.

Duties:  

  • The Secretary/Treasurer shall serve as a voting member of the Board of Directors.
  • Record dues paid by members and maintain an up-to-date membership and mailing list.
  • Provide mailing labels upon request to the nominating committee, the national organization, or other library organizations, etc. as appropriate.
  • Maintain the appropriate fiscal ledgers and provide budgetary information to the local and national chapter, and the Newsletter Editor as warranted.
  • Prepare minutes and treasurer's reports for all Board and Chapter meetings. Submit draft and/or final versions to the Newsletter Editor for inclusion in the Chapter newsletter. Submit final versions to the Webmaster for inclusion in the Chapter website.
  • Keep archival copies of all appropriate documents.
  • Submit appropriate documents to the Chapter Archives at the University of Washington Libraries , Manuscripts, Special Collections, and University Archives.
  • Maintain incorporation status by keeping the fees and forms current.
  • Ensure that liability insurance has been paid.
  • Perform registration duties for Washington State ACRL Chapter programs that are hosted in Washington .
  • Send information to members about how to join the Chapter email list.

Deadlines: 

  May: For the Spring Board meeting prepare, present and seek approval for fall membership meeting draft minutes; prepare, present and seek approval for 6-month treasurer's report; take Spring Board meeting minutes and send to Board for review.

 

 

June (odd years): The current Secretary/Treasurer shall pick up from the Bank of America the appropriate documentation needed to transfer authorization for access to the ACRL account. After signing the forms, the outgoing Secretary/Treasurer will forward those documents to the incoming Secretary/Treasurer.

 

July 1 st : Secretary/Treasurer needs to secure all appropriate signatures to transfer and secure authorization for access to ACRL account.

 

July: Complete and have the President sign and forward to the National Chapter a Reimbursement Request form.

 

October: For the Fall Board meeting prepare, present and seek approval for spring membership meeting draft minutes; prepare, present and seek approval for 6-month treasurer's report; for the Annual Membership Meeting prepare, present and seek approval for the previous Fall's Membership Meeting minutes; present and distribute 6-month treasurer's report to full membership.
