Board Meeting Minutes

Present:              Andrea Kueter, Dal Symes, Gary Menges, Jane Shoop, Marie Zimmermann

The meeting was brief, but lively, and the topics we touched on were:

1.      Continued discussion about the need to review and revise our by-laws and position descriptions.  Sections that particularly need to be looked at are Article VI Section 3, and Article VII Section 3.  Final changes need to wait until a decision is made regarding affiliation/incorporation since it makes most sense to do one wholesale revision.

2.      The need to clarify/define Chapter membership.  The by-laws state that all members of National ACRL are automatically members of the State Chapter.  However, in practice, the Chapter has had no way of knowing who in the state is a National member if they are not also paying dues to the State Chapter.  Because of this we have not been including non-State dues paying members of National ACRL in our newsletter, and other, mailings.  And in essence have not been actively seeking or encouraging participation by these “silent” members.

3.      Recently, however, the Board did acquire a Washington State membership list from National ACRL and will be targeting National members for dues paying status in the State Chapter.  We do need to vigorously recruit new members.  Board members will work on their home institutions.  Other ideas include developing a postcard that could be sent to potential members, working more closely with designated liaisons to have them recruit from their institutions.  More of an electronic presence.

4.      Conferences.  Dal is working on Pack Forest ‘99.  ACRL will continue to co-sponsor the series of workshops with CLAMS & LMDC.  It was mentioned that we need to look into the process for applying for money from National both on an on-going basis, and to support the upcoming Pack Forest conference.

5.      There is no new news regarding affiliation/incorporation.  It was confirmed that when we do have a proposal ready for the membership they do need to vote on it.  We will aim to have that proposal ready to be mailed with election ballots in 2000.

6.      A nominating committee needs to be formed for our next election cycle.

 7.      Gary and Helene are working on the archives.  Get them your stuff.
