Policies on Use of Odegaard Room 220

  1. The Odegaard Room of the Odegaard Undergraduate Library is for the use of University of Washington Libraries, university faculty, and staff for university-related activities with the approval of the Head of the Libraries Media Center and/or the Director of the Odegaard Undergraduate Library.

  2. The Odegaard Room is primarily for educational use including, but not limited to, instruction, research, and public assembly related to educational use.  Room rental fees may apply.

  3. Rental of the room by non-university groups is possible through the sponsorship of University of Washington staff or faculty. Room rental fees apply.

  4. The room is not a general classroom and cannot be booked for the same hour every day or for several days each week.

  5. The Odegaard Room is suitable for groups of up to 100. The default room set-up is lecture style, providing seats and tables for 75, with 25 additional stacking chairs provided in the back storage room. The room is suitable for receptions, conferences, and workshop; tables and chairs can be arranged as needed. It is the responsibility of the group reserving the room to make any needed changes to the default arrangement and to restore the room to the original configuration.

  6. Equipment provided:  PC with presentation remote, connection for laptop computer, ceiling-mounted digital projector, projection screen, DVD/VHS player, stereo sound, podium with equipment control interface and microphone, video capture camera, wireless hand-held microphones, and wireless lavalier microphone.

  7. Procedures for reservation and use of the Odegaard Room:
    1. Fill out a reservation request form on the University Libraries website. For questions about your reservation, contact University Libraries Media Center at (206) 543-6051. Designate a contact person who will take responsibility for the reservation, orientation, set-up, clean-up, and restoration of the room to the default arrangement.

    2. Make an appointment for orientation to the room and equipment use.

    3. All alternative arrangements of the room are the sole responsibility of the contact person and must be stipulated in the reservation request.

    4. The contact agrees to return the furniture arrangement to the default setting, clear away all trash, clean tabletops and chairs, vacuum the carpet, bag up trash and place next to exterior trash cans outside the Odegaard Room.

    5. On the day of the event, the contact person must pick up instructions, checklist, and keys to the Odegaard Room at the Reference Desk on the 2nd floor or the Information Desk on the 1st Floor.

    6. At the conclusion of the event, the contact person must return the room key to the Reference Desk or Information Desk and sign off on the completion of agreed upon usage responsibilities.
